Privacy Policy
Effective October 17, 2026
This policy explains what personal information TODO: company legal name ("we", "us") handles when you use Gridmaps Property Management System: the website, the PPW Mobile app and the PPW API (the "Service"). It works together with our Terms of Service.
1. Who is responsible
PPW is used by property preservation companies (our "Customers"). The information a Customer and its users put into PPW about their work, such as work orders, properties, photos and the people involved, is controlled by that Customer, and we process it on its behalf and on its instructions. If your information is in a company's PPW account and you have a question about it, contact that company first; we will help it respond. For account and sign-up information and for running the Service itself, we are responsible.
2. What we collect
- Account details: name, email address, login name, optional phone number, company name, and your role and permissions. Passwords are stored only as one-way hashes; we cannot read them.
- Work content: what users enter, such as work orders, property addresses, client and contractor details, bids, invoices, payments, notes, messages and documents.
- Photos and files: photos and documents you upload. Photos often carry the time and GPS location where they were taken; the Service reads these to date-stamp photos and match them to the property.
- Mobile app: camera access to take work order photos, and your location while the app is in use to certify photos and show your distance to the property. The app asks before using either. If you turn on alerts, we keep a push notification token for your device.
- Check-ins: when you check in or out of a property, and who did.
- Technical information: IP address, browser and device type, and records of requests and errors, used to keep the Service secure and working.
- Messages to us: what you send when you ask for support.
3. Cookies
We use only the cookies the Service needs: secure sign-in cookies that keep you logged in, a small cookie that tells the site you are signed in, and one that remembers your chosen home page. We do not use advertising or third-party analytics cookies.
4. How we use it
- to provide the Service: accounts, work orders, photos, reports, alerts and live updates;
- to send service emails, such as sign-up confirmation, password resets and notifications you choose;
- to keep the Service and accounts secure, prevent abuse and fix problems;
- to answer support requests;
- to meet legal obligations.
We do not sell personal information and do not use it for advertising.
5. Who we share it with
We share information only with the service providers we use to run PPW, under contracts that protect it:
- Hostinger: the servers that run the application and its database.
- DigitalOcean: storage for photos and files (in Singapore).
- Google: delivery of the Service's emails.
- Expo: delivery of push notifications to the mobile app.
- OpenStreetMap: map images shown on property maps, which they receive your IP address to serve.
Inside a Customer's account, information is visible to the users that Customer allows. If a Customer connects PPW to another system, such as another PPW company through PPW Link, we exchange data with it as the Customer directs. We may also disclose information when the law requires it, or to a buyer if our business is sold, with this policy continuing to apply.
6. International transfers
Our providers may store and process information in countries other than yours, including Singapore. Where the law requires it, we use appropriate safeguards for these transfers.
7. How long we keep it
We keep information while the account is active. After a Customer closes its account, we delete its data within the period in our Terms of Service, except for copies in rolling backups, which are overwritten within 14 days, and records we must keep by law.
8. Security
We use encrypted connections (HTTPS), hashed passwords, encryption for stored third-party credentials, separation of each company's data, access limited by role, and daily backups. No system is perfectly secure, so please use a strong password and tell us about anything suspicious.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, or to object to how it is used. Users can update much of their account information in the Service. For other requests, contact us at hello@gridmaps.tech. If your information belongs to a Customer's account, we will pass your request to that Customer. You may also complain to your local data protection authority.
10. Children
The Service is for businesses and is not meant for anyone under 18.
11. Changes
We will post any update to this policy here with a new effective date, and tell account administrators about significant changes.
